Position Summary

 

The Procurement and Supplies Department of Beaumont Hospital is critical to the operation of the Hospital as a whole. In particular, the Stores function is responsible for the provision of efficient and effective support to the Supplies Department in the management, control, and distribution of stock and non-stock items across the hospital.

 

The successful candidate will ensure timely procurement, receipt, storage, and delivery of goods and services in compliance with procurement policies and hospital procedures as more fully outlined in the principal duties and responsibilities below.

Responsibilities

 

STOCK CONTROL

 

GOODS INWARDS AND RECEIPTING:

 

  • Responsible for the receipt, weighing of goods, quantity of goods received into the stores or sub store areas in an efficient manner. 

 

  • Check, count and sign delivery notes in respect of goods received in accordance with the official hospital order number.

 

  • Responsible for the entry and correction of entries of delivery dockets into the Stock Management System and the allocation of Goods received number to the advice note/delivery dockets.

 

  • Responsible for the physical storage of goods, i.e. to allocate the goods to a correct location in a proper manner.

 

  • Record goods being returned to Suppliers.

 

  • Deal with any company concerned regarding discrepancies in deliveries.  Deal with same in an appropriate manner.

 

  • Handle returns to Stores from user departments and suppliers as per relevant procedure.

 

ISSUING OF GOODS:

 

  • Issue goods according to the relevant requisition/picking system.

 

  • Ensure that the correct goods and quantities of goods are issued as per requisition/picking system.

 

  • Responsible for the correct maintenance of goods on shelves etc., and the rotation of stock in a suitable manner.
  • Responsible that goods stock and run stock are delivered to the appropriate areas.

 

  • Ensure that goods delivered are signed for in line with Hospital Policy at user departments.

 

  • Confirm requisitioning of goods on Stock Management System for costing purposes are completed.

 

  • Deal with queries from user departments regarding requisitions and issues etc.

 

  • Issuing of all emergency supplies. 

 

  • Processing of all stock orders.

 

 GENERAL:

 

  • File and retain delivery notes and requisitions in a suitable manner.

 

  • Ensure that stocks are maintained in a correct condition in accordance with good stores practice.

 

  • Ensure that the stores and goods inward area are kept in an appropriate condition in terms of hygiene, cleanliness and security.

 

  • Ensure that no unauthorised persons enter the Stores Department and sub-store areas.

 

  • Ensure appropriate security of the store areas and in particular ensure that no goods are issued whatsoever without appropriate authorisation.

 

  • Placement of stock replenishment orders.

 

  • Disposing of all waste from different stores and corridor. Collecting Supplies Department pallets from outside areas.

 

  • Implementing new computer systems and procedures.

 

  • Collecting of all containers and pallets.

 

  • Stocktaking when required.

 

  • Assist in the training of newly appointed staff within your area.

 

  • Provide cross cover in other stores areas when required.

 

  • Perform such other duties appropriate to the post as may be assigned from time to time by the Beaumont Hospital Board.  

Qualifications

Mandatory

 

  • The successful candidate must have experience working in a hospital or a similar healthcare environment.

 

  • The successful candidate must have the ability to communicate effectively with hospital staff and suppliers.

 

  • The successful candidate must possess the ability to work as part of a team and independently under pressure.

 

  • The successful candidate must have strong organisational skills.

 

  • The successful candidate must have a full understanding of health and safety practices in a hospital environment.

 

  • The successful candidate should have materials management knowledge.  

     

  • The successful candidate should have a working knowledge of the supplies department and a stores environment.

 

  • The successful candidate should possess a familiarity with stock control and procurement systems.
