Position Summary:

Hospital In-Patient Enquiry Scheme (HIPE) HIPE is a health information system designed to collect demographic, clinical and administrative information on discharges and deaths from acute hospitals nationally. HIPE is the only source of morbidity statistics available nationally for acute hospital services in Ireland. All acute public hospitals participate in HIPE reporting on over 1.5 million records annually.
The position holder will be responsible to ensure that the Clinical Coders have the healthcare records necessary to perform the collection of data as above. (See below for Principal Duties & Responsibilities)

· Maintain and monitor the flow of patient charts within the HIPE Department, including coding offices, the chart room, and any other areas where healthcare records are stored on behalf of HIPE.
· Track, retrieve, and return charts to the Medical Records Department and other designated areas as required.
· Source and retrieve missing charts for coders on a daily and ongoing basis, based on lists generated by coding staff. This includes locating charts from all areas of the hospital.
· Retrieve and transport charts from departments and wards throughout the hospital in a timely manner.
· Assist in the efficient day-to-day operation of a busy office environment.
· Fulfil all hatch-related duties and obligations in accordance with departmental procedures.
· Provide general administrative and clerical support to the HIPE Management Team and undertake other duties appropriate to the grade as required to support the effective operation of the HIPE Department.

SELECTION CRITERIA
Selection criteria outline the qualification, skills, knowledge and/ or experience that the successful candidate would need to demonstrate for successful discharge of the responsibilities for the post. Applications will be assessed on the basis of how well candidates satisfy these criteria.
Mandatory:
Professional Qualifications, Experience, etc
(a) Eligible applicants will be those who on the closing date for the competition:
(i) Obtained at least grade D (or pass) in Higher or Ordinary Level in five subjects from the approved list of subjects in the Department of Education established Leaving Certificate Examination or Leaving Certificate Vocational Programme or Leaving Certificate Applied.
Or
(ii) Passed an examination of at least equivalent standard.
Or
(iii) Satisfactory relevant experience which encompasses demonstrable
equivalent skills.
And
(b) Candidates must possess the requisite knowledge and ability, including a high standard of suitability and administrative ability), for the proper
discharge of the office.
Age
Age restriction shall only apply to a candidate where s/he is not classified as a new entrant (within the meaning of the Public Service Superannuation
(Miscellaneous Provisions) Act, 2004). A candidate who is not classified as a new entrant must be under 65 years of age on the first day of the month in which the latest date for receiving completed application forms for the office occurs.
Health
Candidates for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and
efficient service.
Character
Candidates for and any person holding the office must be of good character.
Desirable
Experience working in a healthcare setting, with an understanding of healthcare administration and patient-focused service delivery.
· Knowledge and experience of the IPMS Hospital System, supporting efficient patient and administrative processes.
· Excellent time management skills, with the ability to prioritise workloads, manage competing demands, and consistently meet deadlines.
· Strong communication skills, with the ability to interact professionally and effectively with patients, colleagues, multidisciplinary teams, and external stakeholders.
· Excellent organisational skills, with a proven ability to manage multiple tasks efficiently while maintaining a high level of accuracy and attention to detail.
· Ability to work effectively on my own initiative, demonstrating problem-solving skills and a proactive approach to tasks.
